MHHA December 3rd, Board Meeting synopsis

The Monthly Board meeting was held at the Augusta office on December 3rd at 5:00.  Eight Directors of the Board were present, as was Rhonda Miller, the Administrative Assistant to the MHHA. Mike Hitchcock was absent due to illness.

The Officers reports were read and accepted.  Committee reports:  Due to the lateness of the annual meeting this year, the scholarship committee set a due date of December 31 for scholarship applications.  They will be reviewed at the February meeting and recipients will be notified by Feb. 28th.  The proposed budget by the budget committee has been projected at $223,721.05 as of this date. The track committee discussed the poor condition of Scarborough Downs track this past weekend, and the audit committee reported that Darryl LeClair has reviewed and accepted the 2007 audit. David Slocomb is in the process of obtaining 3 estimates for outside CPA audit for 2008 and every 3 years going forward.

In old business, Chandler Woodcock has been hired as the new Executive Director. We welcome him to start January 5th with some part-time getting acquainted in December.  Credit card processing should be in place by the first of the year, with Bangor Savings Bank administering that program.  It was reiterated that current membership and licensing was effective through January and new 2009 memberships would not be processed until January.

In New Business, much discussion was held regarding ’09 contract negotiations with the tracks.  A decision was made to contribute $100.00 to the memorial fund requested in David Hall’s memory.  Due to the change of date for the 2009 annual meeting, the Civic Center is no longer available in January of 2010, so it was decided to reserve Le Club Calumet in Augusta for January 23, 2010.

The next meeting is to be held December 16th at 5:00.
